Management/Responsibility
- Check that there are no existing lists that are or could be used for your intended task
- For the owner of a list, you must ensure that members are removed in a timely manner
- Consider the security and privacy of information being sent and to whom
Requesting a new DL or deleting / altering an existing
To make a new distribution list or alter/remove an existing one a request must go to the department for education, requests require authorisation from the current or acting site leader.

Adding/Removing list members
Distribution lists can be maintained either through Outlook Online (OWA) or via Outlook for Desktop. The below instructions are for Outlook Online. Groups that are maintained by the department may allow you to edit members, however they will
To edit a group or review information about a group:
Select Settings
> View all Outlook settings > General > Distribution groups > Distribution groups I own.
In the dialog box, select the group you want to edit. You can search for a group by typing all or part of its name in the search window, and then selecting the search icon
. To clear the search results, select Clear
.
Select Edit
.
Select ownership to grant management access or membership to give/remove access to receive emails.
Make the changes you want via the Add + and remove - buttons
Select Save to save your changes, or Cancel to leave without saving.
Self Leaving/Joining a group
Some groups will allow you to remove or join yourself. For the ones that allow you to do so the following instructions will guide you. If you are unable to remove or join yourself to a list, double click on a group name to open its information, you can see all of the list owners. Contact one of the owners so that they may remove or add you. Be sure to mention the name of the list you are asking to be removed from.
To join a distribution group
- Select Settings
> View all Outlook settings > General > Distribution groups > Distribution groups I belong to.
- Select Join

- In the dialog box, select the group you want to join. You can search for a group by typing all or part of its name in the search window, and then selecting the search icon
. To clear the search results, select Clear
.
- Select the group you want to join.
- Select Join
.
To leave a distribution group:
Select Settings
> View all Outlook settings > General > Distribution groups > Distribution groups I belong to.
Select the distribution group you want to leave.
Select Leave
.
